New full-time support staff position


We require a qualified service-oriented, energetic individual to assist the Industrial Research Chair with a variety of administrative and clerical support services.


• Prepare and contribute to planning and reporting documents that outline goals, activities and performance metrics for the research Chair

• Develop procedures and documents related to maintaining and tracking outcomes

• Assist in preparing monthly and quarterly outcome performance reports to ED and NSERC

• Assist with the organization of knowledge dissemination activities

• Assist in the coordination of seminars and workshops

• Maintain an electronic filing system related to all Chair’s activities

• Book meetings and appointments; assemble/organize materials required for meetings/presentations; take minutes and follow up on action items of the Steering Committee

• Make travel arrangements when flights or hotels are required

• Track mileage and miscellaneous expenses for completing the Chair’s monthly expense report

• Assist with the process of hiring and orienting students and staff for research projects may include: creating job postings, liaising with HR, issuing keys/fobs, arranging for health and safety training, tracking hours worked, etc.

• Assist in the planning and tracking of HR needs of the research program

• Assist the Chair and researchers (students/support staff/faculty) with purchasing procedures

• Facilitate the purchasing of materials and equipment in consultation with CARI, CSM, Purchasing, vendors and other internal college departments

• Maintain a tracking system for budgeted and actual purchases

• Follow up with vendors and suppliers with respect to quotations and delivery dates

• Communicate with industrial partners to gather and maintain technical and financial data of individual projects

• Assist in preparing research collaboration agreements and research proposals

• Assist with the completion of mandatory reports/templates as per external funding agencies

• Assist with establishing and maintaining digital information produced by, and required for, research projects


•Two year diploma in Office Administration or a related field of study

 Minimum two years practical office experience providing administrative support

• Experience working in an educational institution and/or research environment are considered assets

• Excellent organizational and time management skills; ability to cope under pressure associated with the organization of numerous high volume tasks in a busy research environment while meeting deadlines; high level of accuracy and attention to details

• Excellent computer and analytical skills and ability to work professionally in word processing and spreadsheets

• Excellent communication and human relations skills to communicate tactfully, courteously and effectively

• Problem solving ability and evaluation skills are required to understand and respond efficiently and appropriately to questions

• Proven ability to work under pressure and on multiple tasks simultaneously
