Description:

New full-time administration position

Responsibilities:

We require a qualified individual to provide administrative and operational support to the Office of Chief Information Officer (CIO).   The incumbent participates on projects and assumes responsibility for segments of projects including providing administrative services as required.  The incumbent develops, establishes and maintains information tracking systems plus manual and electronic schedules and filing systems, coordinates meetings and special events.

 

• Respond to inquiries on a range of issues concerning technology policies, procedures and inquiries from internal and external parties (students, employees, vendors, etc.)

• Assist management on technical issues as a first point of contact for the department

• In collaboration with key stakeholders, in Information Technology Services (ITS)/Information Management Systems (IMS), develop report templates to present/display results in a clear, organized, summarized fashion, perform data integrity checks through manual verification process using excel sheet and other forms

• Manage data integrity standards by following directions from database administrator and/or business analysts/management members

• Provide administrative support to CIO office on various tasks and projects

• Prioritize and manage own workflow to ensure quality and efficiency (i.e. meet deadlines; be flexible in adjusting to changing work priorities)

• Manage collection of monthly status updates on assigned projects

• Schedule internal and external activities, appointments and meetings, including location, transportation, other arrangements etc.

• Prepare correspondence such as letters, tables, reports and statistical charts, proposals

• Ensure others in the department and College are informed and up-to date about the progress of projects

• Show initiative in terms of improving current practice(s) and implementing new, effective administrative procedures on a daily basis

• With feedback from CIO, develop plans, ensure key people and committees are informed

• Assist in testing and setup of mobile devices as needed or pilot new initiatives (e.g. AODA/Sharepoint)

• Coordinate annual planning cycle activities for CIO

• Provide high level administrative support to internal committees (including Director’s meeting, Web Committee, IT Strategic Steering Committees (Internal & Boreal) Technology Review Sub Committee, Annual Planning Cycle, Etc., Policies and Procedures, Planning and Review)

• Work with senior administration to set agendas and discussion items

• Create clear, concise communications (i.e. agendas, minutes, email) to reflect critical information

• Work with committee members and College employees to ensure agenda items are submitted in a timely manner and initiatives move through committee approval process effectively

• Organize meetings which includes scheduling, reviewing committee reports/submissions for format and content, preparing and mailing agenda packages, preparing minutes, tracking action items and maintaining meeting documentation for future reference

• Assist in the preparation of meeting material (i.e. PowerPoint presentations, online demonstrations, webinars, conference calls


Qualifications:

• Three year diploma/degree in a field a study to include Administrative/Business and solid knowledge of Information Technology

• Three years progressively responsible administrative assistant experience supporting senior administration/executives in an academic environment

• Strong computer skills using a variety of software packages (i.e. Word, EXCEL, POWERPOINT, ADOBE ACROBAT, VISIO, SHAREPOINT, MOBILE APPS etc.)

• Demonstrated ability to create and manipulate ACCESS databases

• Excellent communication skills both verbal and written

• Using a strong sense of professionalism, use tact and discretion when liaising with clients and staff at various levels such as College Board members, Directors, department managers

• Able to communicate somewhat technical IT information effectively to an audience with less technical knowledge

• Able to prioritize the urgency of questions or concerns

• Strong organizational and coordination skills

• Able to use good judgement and initiative

• Confident team member with the ability to contribute to a positive work environment

• Ability to effectively research/review and determine ways in which best practices may be implemented

• May work with other Executive Assistants to move forward with proposed initiatives
