We require a qualified individual to join the Advancement Office in supporting the Development, Alumni and Corporate Communications as an Administrative Assistant.  Reporting to the Associate Director, Advancement Operations the incumbent provides overall administrative assistance to support office activities and Development and Alumni events.


  • Provide comprehensive support to the Development and Alumni team including reception, preparing correspondence, scheduling, meeting arrangements, preparing visit packages and expenses reconciliation
  • First point of contact for the Development and Alumni Office
  • Provide professional, confidential, courteous assistance to other college administrators, government officials, alumni, donors and community partners
  • Identify expenditure trends, review and reconcile financial statements and liaise with the Finance department
  • Works with Managers of Alumni and Development to prepare Alumni and Development communications including e-Connections, proposals, affinity partner communications, and other communications as required
  • Support the work of the Alumni Council and Campaign Cabinets and Committees
  • Liaise with internal and external offices to provide support for events including convocation, President’s Holiday reception, fundraising functions and other activities delivered by the Development and Alumni team
  • Assist Corporate Communications and the President’s Office as required


  • A minimum of a two year diploma in Office Administration
  • A minimum of three years of experience supporting a high performing team
  • Experience with budget preparation, account reconciliation, and other accounting functions
  • Experience working with Donors, Volunteers and Senior Level Executives
  • Strong written and oral communications skills
  • Sound judgement and political acumen
  • Education and/or experience in fundraising or volunteer management is considered an asset
  • Computer proficient and experience working with a large relational database
  • Preference given to candidates with knowledge of and experience using Raisers Edge
